Business in the Community Ireland (BITCI) is excited to invite candidates to apply for the position of Communications and Events Lead in BITCI’s Communication Team.

Purpose of the role: To raise the profile of BITCI, improve internal communication and co-ordinate and deliver BITCI’s events programme for members, prospective members and staff, working closely with colleagues across the organisation.

Job Summary 

  • Permanent role, subject to a 6-month probationary period.
  •  Role is based in Dublin (this is a hybrid role, with in-office attendance expected 2-3 days per week).
  • Full-time role is 35 hours a week
  • Salary €45,000-€50,000 per annum, depending on experience
  • Strong project management skills - ability to manage numerous projects and organise resources effectively.
  • At least 5 years of relevant experience or relevant NFQ7 qualification in journalism, event management, communications, Digital Marketing or similar field.
  • A high level of proficiency in the range of Microsoft Office programmes and Microsoft Dynamics CRM.
  • Familiarity with design packages such as Canva and digital marketing packages such as Mailchimp.

Job Description

The role holder will be a critical member of the Communications Team which is committed to raising the profile of the work of BITCI internally and externally. Their focus will be on ensuring high standards of events (online, hybrid or in-person, in Dublin and other cities in Ireland) are delivered, seizing internal communication opportunities to improve understanding of our work and assist in the showcasing opportunities of BITCI work to external audiences. 

The Communication Team acts as a resource to other teams in BITCI so this role will require regular interaction with colleagues across the organisation. 

The below is not an exhaustive list of duties. There may be other ad-hoc duties assigned from time to time, and the Communications and Events Lead will be expected to support the Communications Team as needed, in line with the overall organisational objectives of BITCI. 

The Communications and Event Lead will be responsible for: 

Communication duties: 

  • Lead on the creation and distribution of internal communication activities -e.g. monthly All Hands meetings, weekly Newsflash and others as required. Seek input from colleagues, review quality and impact of internal communications, suggest new and persuasive/engaging means to keep our colleagues abreast of our work and its impact. 
  • Manage our internal Events Calendar on SharePoint and ensure team leads continue to update the calendar with relevant event details throughout the year. 
  • Assist in drafting press releases to promote BITCI campaigns, activities and reports. 
  • Compile relevant media lists through MediaHQ to ensure the correct journalists are targeted. 
  • Issue press releases through MediaHQ platform and respond to any media queries that arise. Update BITCI news page on website accordingly. 
  • Be an internal Brand Guardian ensuring compliance with all aspects of BITCI brand including tone of voice, style guide and logo usage. 
  • Keep up to date with external sustainability news and suggest media opportunities for BITCI to comment on. 
  • Be proactive in keeping abreast of upcoming sectoral, BITCI members or relevant conferences or events and pitch BITCI colleagues to present at these events. 

Event Management: 

  • Lead on the planning of BITCI’s annual programme of internal and external events and work closely with the SLT to build the events programme into wider strategic campaigns and needs of BITCI. 
  • Manage delivery of key milestone events, incl. CEO Forum, annual report launches and conferences. Be involved in designing themes of the events and proposing relevant speakers and formats. 
  • Source and liaise with venues, manage logistics and work with suppliers ranging from catering to AV, seeking high calibre service and value for money. 
  • Manage invitation and registration processes for events including issuing through Mailchimp. 
  • Ensure mailing lists and attendees lists are kept up to date on CRM by relevant owners. 
  • Train and empower colleagues across the organisation to deliver events across in-person, hybrid and online platforms. 
  • In consultation with colleagues, lead on the development of digital assets for events e.g. PowerPoint decks. 
  • Manage the BITCI Events webpage to ensure it is kept up to date. 
  • Review, report and evaluate events delivery and outcomes seeking to improve them in line with BITCI values and member focus needs. Always being open to new formats, venues, speakers to ensure BITCI remains innovative and relevant. 
  • Work closely with the Responsible Business team and Business Engagement team to platform members at BITCI events via speaking roles and hosting opportunities. 
  • Work closely with the wider Communications Team to ensure smooth process for event communication, interactions with media, digital and social media campaigns. 
  • Support the design and execution of internal staff events including staff days, Board events and other ad hoc internal events as required. 
  • Identify opportunities for improvement in delivery, cost effectiveness and sustainability offering of BITCI events.

Person Specification: 

Qualifications 

The above skills and knowledge to have been acquired by at least 5 years of relevant experience or relevant NFQ7 qualification in journalism, event management, communications, Digital Marketing or similar field. 

Core Skills 
  • Five years’ experience in a communications / event management role ideally in B2B organisation / business. 
  • Strong project management skills - ability to manage numerous projects and organise resources effectively. 
  • Be creative in improving and executing internal communication channels. 
  • A high level of proficiency in the range of Microsoft Office programmes. 
  • Proficient knowledge in database applications such as Microsoft Dynamics CRM. 
  • Strong organisational and time management skills. 
  • Excellent verbal and written communication skills. 
  • Excellent attention to detail. 
  • Managing event budgets. 
Other skills/knowledge 
  • Team player and confident in liaising with various teams. 
  • Ability to work independently, take initiative spotting opportunities, challenges and potential improvements. 
  • Keen interest and knowledge of sustainability particularly on the topics of climate change, diversity and inclusion within a business context. 
  • Familiarity with design packages such as Canva and digital marketing packages such as Mailchimp. 
  • Contractor management experience.
