The Public Relations Institute of Ireland (PRII) works to promote the professional practice of public relations and communications in Ireland. Now 70 years in existence, PRII provides education and training, information and resources, and events large and small. We are seeking a highly-organised and proactive Administration Executive to join our team and support the delivery of services for members. One year contract with potential for extension/permanent appointment.

Part-time (20 hrs per week) with flexible scheduling options. Hybrid, with our office based in Merrion Sq. Dublin 2.

Core Duties:

Executive Support:

  • Provide comprehensive administrative support to the team, including assisting with reports, presentations and other documents as required, filing, managing calendars, scheduling meetings (both in-person and online), handling correspondence and calls.
  • Manage the administration, and act as first point of contact, for those undertaking our education and training courses.
  • Website Content Management including the uploading of learning resources and training materials to the Institute’s digital platform.
  • Administer examination process including record maintenance, issuing of examination results, feedback and certification.
  • Provide administrative support for events such as conferences, AGM, and other in person and online events as needed.
  • Maintenance and upkeep of CRM and organisation database.
  • Coordinate and facilitate meetings, including preparing agendas and taking minutes.
  • Research and negotiate with suppliers.

Person Specification:

Experience:

  • Ideally two years' experience in an administrative or executive support role.
  • Previous experience of administration in an educational/training body is desirable and/or event management is desirable.
  • Demonstrated ability to work in a small team in person, and remotely, and manage multiple tasks effectively.

Skills:

  • Excellent organisational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Adept at proofreading.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software as well as meeting platforms such as Zoom and Teams and maintaining databases.
  • Familiarity with CRM software and digital collaboration platforms is desirable.
